Volunteer Accepting a Service Request

  1. While the volunteer is on the phone:

     

    1. After thanking them, check the  services calendar to see if anyone else has been designated to provide the service and, if so, tell them.
    2. Otherwise, select the service to open the "Add/Edit Service Request" screen.  
    3. Review the details of the service request with them. Remember to tell them to call the member the night before the service.

If the date and time of the service is not fixed (typical of errands, tech support, handyman) then tell the volunteer to call the member, agree on a date and time, and call you back to let you know when it will be done.  Don't set the status to confirmed until the volunteer calls you back.  Be sure to add the expected call back under Outstanding Items at the top of the shift notes.  Emphasize to the volunteer that calling us back is very important so we can be sure the member has been contacted.

  5. Edit the status of volunteers in Service Request
    1. The screen shows the list of volunteers who have been called for the service, indicating which ones have had a message left for them.
    2. For a volunteer on the phone is accepting the service or one who has replied to and email offering to do the service, change their status to "Selected" and select "Send Confirmation Email".
    3. If this is the only open request, change the status of the other volunteers for whom you are awaiting a response to "Not Needed" and Select "Send Not Needed Email".  Don't do this if you have other requests open, since they might be willing to do another service on or about the same time.

  7. If the date and time of the service is fixed call the member and let them know who will be performing the service. Leave a message if necessary.

  9. Set the status in the service request to "confirmed" after you or the volunteer has reached the member.
