Set up a Call Manager's Computer



1)   If the user does not have Google Chrome installed, download Chrome.  To do so type “Download Chrome” into the search window and follow the on-screen instructions.  Install and Open Chrome.

2)   Install the Google Voice (by Google)

a.   Select the icon with three vertical dots at the top right.
        b.   Select "More Tools"
        c.   Select "Extensions"
        d   Scroll down the list of extensions.  If Google Voice is not there, select "Get more extensions" on the bottom of the page.
        e.  Once Google Voice is installed, set its options as shown on the top right.

Chose these settings.  Note, The Account Selection shown assumes that you have two or more Google logins, and that your personal logins is first.   If you don’t generally log into Google except for the Village account, account selection does not matter.

 




3)   It generally takes several tabs to operate as a Call Manager.  On the user’s computer, open each window, entering passwords as needed and have the computer memorize each of the passwords so that the user does not need to be bothered by this again.  The passwords needed are a)  the member’s personal password at Club Express for your Village and b) the Villages password for Google main and voice.  Make sure you do not share Club Express passwords among volunteers as this will prevent accurate record keeping.

 

 

 

 

 

 


4)   The tabs to be opened are:
  1. The member services screen (page_id=650)
  2. The Shift Notes Forum (you need to create this forum and add the call managers or the staff as members).
  3. Gmail inbox for the Village
  4. Voicemail inbox for the Village
  5. Volunteer-Self Services for the Village


5 )  Create a folder on the user’s bookmark bar called Village Quick Open
  1. Drag the icon to the left of the URL for each tab to the folder
  2. Close all the tabs but one.  Right click on the Quick Open tab and “Open all Bookmarks”. 
  3. This opens all the tabs you set up at once.
  4. Close the chrome browser and have the user reopen it and open all the village tabs.


6)   Show the user how to set up Google Voice

  1. Select the Voicemail Tab for the Village
  2. Select the gear icon and then Settings
  3. Go to the phones tab and demonstrate how to set the user’s phone to receive calls.  Go through the procedure Select Phone to Receive Calls with the new call manager,
  4. Delete the user’s phone number and have them do it for themselves.
