Volunteer Intake Protocol

When a potential volunteer contacts us, we do the following.
  1.  Enter as much contact information as we can get into the “non-member” database and assign a category of “possible volunteer”. 
     
  2. Email the  Volunteer Intake Director
     
  3. The Volunteer Intake committee sends a “Thank you for volunteering” email from the Nauset Neighbors Gmail account which is personal and tailored to the contact method of the potential volunteer.  The note includes a link to the Volunteer Handbook and the volunteer agreement.  If a volunteer orientation meeting has been scheduled, it invites the potential volunteer to the next volunteer intake meeting. 
     
  4. All the emails are in the Gmail account filed under “Thank You for Volunteering”.
     
  5. The volunteer intake committee contacts the potential volunteer and invites them to the next volunteer intake meeting.
     
  6. The meeting is usually attended by one or two call managers and one or two board members.
     
  7. At the meeting we show  a presentation on how we work and other active volunteers answer questions.  This is the best time to find potential new call managers and members for other committees.
     
  8. At the meeting the volunteer brings or fills out the volunteer agreement providing a copy of their driver’s license and, if they are a driver, their auto registration.  (Alternately, some volunteers fill out the forms after they get the initial email.)
     
  9. The volunteer intake committee enters the volunteer’s information into the database, and the CORI request system and, if necessary, the Hirease website.
     
  10. The volunteer intake committee gets notification of the CORI  results and the Hirease results and  indicates the vetting is completed.  When the volunteer  is made “fully vetted” they are also made "visible".
     
  11. The volunteer intake committee sends out a “Thank you for volunteering / Welcome” email with instructions on how to log on to the online signup sheet. .  All the emails are in the Gmail account filed under “Thank You for Volunteering / Welcome”.  
     
  12. Call managers are alerted to new volunteers and call them when they first sign up to go over the procedures with them again and to thank them.
